Privacy notice for the community meals service
Our general privacy information is available at www.southglos.gov.uk/privacy.
This privacy notice relates to the personal information we have collected directly from you via the online form you have submitted to request our community meals service.
When you request our service you agree to share sensitive information including your health, religious or philosophical beliefs in order that we can deliver the appropriate meals to you.
We will use your information according to the UK Data Protection laws by establishing the conditions of a contract between us and our duty to provide the service.
Your information is not transferred and stored in countries outside the UK and the European Economic Area (EEA) for the provision of this service.
How we will use your information
We will use your information to provide the above service you have requested whilst complying with the established lawful conditions.
Who we can share your information with
In order to provide the service you required we will share your information with the following:
- your family, next of kin, friends or associates who act on your behalf
- our employees who provide you with a service
- trusted third parties that we use to help us deliver our service
- medical professionals in the event of a medical emergency or if you are unwell
We may also share your information with others outside of the council, for example regulators and other public organisations for the detection and prevention of crime.
How long we will keep your information
We will keep your information for as long as you have a relationship with us. Specific information relating to this service will be retained according to the relevant record retention schedule which can be found on our record retention schedules page. We may retain anonymised information about the service we provided to help us make improvements in the future.
If you decide you no longer require our community meals service we will cease the service and once any outstanding payments have been paid, your account will be archived. We will keep a record of your data for a further 6 years before we finally delete your information from our systems.
Your rights
You have a number of rights relating to your information, for example to see what we hold about you, to ask us to share it with another party, ask us to update incorrect or incomplete details, to object to or restrict processing of it or to make a complaint about how we are handling it. If you have given us your permission to use your information you also have the right to withdraw that permission at any time in the future.
